1. Who we are
Wanvane is a billing and network-management platform for internet
service providers, operated from South Africa. This policy explains what we collect,
why, and what you can do about it — across the platform at
app.wanvane.com, this website, and the Wanvane Support,
Wanvane Dispatch and Wanvane Monitoring Android
apps.
"We", "us" and "our" mean Wanvane. Questions go to support@wanvane.com.
2. Two different relationships
What we do with information depends on whose information it is, and the distinction matters more than it might look:
Our customers — the ISPs
An ISP signs up, and its staff use the platform. We decide how their account data is handled, and this policy governs it.
Their subscribers — the people the ISP bills
Subscriber records live in the ISP's own workspace. The ISP decides what goes in and what happens to it; we process it on their instructions and do not use it for our own purposes. If you are a subscriber and want your records changed or removed, your provider is who to ask — not us. We help them do it.
3. The platform
When an ISP uses Wanvane we hold:
- Staff accounts — names, email addresses, roles and login credentials. Passwords are stored only as a one-way hash; we cannot read them.
- The business data you enter or import — subscriber records, service plans, invoices, payments, support conversations, jobs, network devices and the rest of what it takes to run the business.
- Technical data — log and device information such as IP address, browser and timestamps, kept for security and diagnostics.
We use it to operate, secure and improve the service, to produce invoices and process payments, to deliver the notifications you configure, to synchronise with services you connect, and to meet our legal obligations.
4. The mobile apps
The three Android apps are staff tools. They are not for the general public: you sign in with an account your employer issues you, and there is no self-signup inside them. Each is a view onto the same platform your office already uses, so nothing new is collected that the platform does not already hold — with the exceptions set out here.

What the apps do not do
- No advertising identifier, no advertising SDKs, and no ads.
- No third-party analytics. There is no tracking SDK in any of the three.
- No location permission. Dispatch has a Navigate button, but it hands the site address to whatever maps app you have installed — it does not read or report your position.
- No contacts, calendar, microphone, SMS or call logs.
- Nothing is sold, and nothing is shared for advertising.
The permissions the apps declare are INTERNET and
POST_NOTIFICATIONS. Dispatch reaches the camera through the system
picker, which asks you each time.
5. This website
Two measurement tools run on wanvane.com, and they behave differently:
- Plausible Analytics — aggregate page statistics. It sets no cookies and collects no personal data, which is why you are not being asked to dismiss a banner.
- Google Ads conversion tracking — this one does set
cookies (
_gcl_*), so that a signup can be attributed back to an advert click. You can block it with your browser's cookie controls or an ad blocker, and nothing on the site stops working.
The mobile apps contain neither of these.
6. QuickBooks Online (Intuit)
If you choose to connect QuickBooks Online, we use Intuit's official API and OAuth 2.0. You sign in on Intuit's own website — we never see or store your Intuit password. With your authorisation we access only what the sync needs: your company profile, customers, invoices, payments, items and chart-of-accounts (deposit) accounts.
- We use it solely to synchronise records between Wanvane and your QuickBooks company, as you configure.
- Access and refresh tokens are stored encrypted and used only for the syncs you enable.
- We do not sell your QuickBooks data, do not use it for advertising, and do not share it except as needed to operate the service or as required by law.
- You can disconnect at any time from within Wanvane, which revokes our access and stops further synchronisation.
Our access to and use of Intuit data is also governed by the Intuit Developer terms and applicable Intuit policies.
7. How we share information
We share only with providers that help us run the service — hosting, email and SMS delivery, WhatsApp messaging, push delivery and payment processing — with integrations you explicitly connect, and where the law requires it or we need to protect our rights. We do not sell personal information.
8. Security
Connections are encrypted in transit. Passwords are stored as one-way hashes. Integration credentials and router backups are encrypted at rest. Accounts can be protected with time-based two-factor authentication, which we recommend turning on. No method of transmission or storage is completely secure, and we do not claim otherwise.
9. Retention
We keep information for as long as the account is active and we need it to provide the service, and after that for as long as legal, accounting or tax obligations require. Backups age out on their own schedule.
10. Your rights, and deleting your data
Under South Africa's Protection of Personal Information Act (POPIA) and comparable laws elsewhere, you may ask to access, correct, export or delete your personal information, and to object to certain processing.
- ISP staff, including app users — your account is administered by your employer, so ask them first; they can change or remove it directly. You can also write to us and we will act with them.
- Subscribers of an ISP that uses Wanvane — contact your provider. Their records are theirs to correct and erase, and we act on their instructions.
- To ask us directly, including a request to delete an account and its associated data, email support@wanvane.com. We respond within 30 days. Some records are kept longer where the law requires it, and we will say so if that applies.
11. Children
Wanvane and its apps are business tools intended for people aged 18 and over. They are not directed at children, and we do not knowingly collect their information.
12. Changes
We may update this policy. Material changes are reflected in the "last updated" date at the top, which is the date the text actually changed — not the date you happen to be reading it.
